MINUTES OF PREVIOUS MEETING

Minutes of previous AGM were agreed and signed, Proposed by J Simpson, seconded by P Manuell

Carried unanimously.

MATTERS ARISING

J Squires offered to post Brochures to all members for which the Chairman expressed his gratitude.

K Kennedy questioned the reasoning for this. The Chairman pointed out that this has been discussed at length at a previous meeting and it is a Constitutional requirement that all members receive notice of the AGM., which notice is contained in the Brochure. It was agreed that married couples would receive one copy but a further copy could be requested. New members and Club Secretaries also receive a copy.

The problem raised previously regarding new “Carry forward “ scales for the Tuesday Championship will be carried forward to the coming year.

The Chairman was unable to arrange “mementos”so there will be cash prizes for this year.

OFFICERS REPORTS

The Chairman submitted a written report and concluded by expressing his thanks and also that of the County to the Secretary for all her hard work as she was standing down after nineteen years in post.

Flowers were then presented to the outgoing Secretary.

The Secretary expressed her thanks for the beautiful bouquet of flowers and for the help and support she had received over the years.

The Treasurers Report had been prepared by the Chairman and audited by K Jalie. Questions were invited.

The total surplus was approximately £1100. J Simpson asked whether this included capitation and it was confirmed that it did..

M Brown pointed out that Bridge for All did not incur a loss of £184 in fact it broke even. He offered to assist the new Treasurer.

M Brown then asked why the OBA Simultaneous Pairs made such a big loss. The chairman did not recall any singular heavy expense and suggested it could be costs of printing but he agreed to check.

In response to the query regarding a computer grant He explained this was the annual standard fee paid to S Brown for the use of his computer in the production of the Prospectus.

On behalf of the OBA K Jalie thanked Mike Fletcher for taking over the accounts at short notice after Paul belton’s sudden death.

In the absence of the Tournament Director there was no report.

The Tournament submitted a written report.

D Bygott questioned why the Master Point awards for the Beck Cup final were lower than for the heats.

The Chairman pointed out that this should not be as there is a laid down Scale. He suggested the matter be referred to the Tournament Director.

The Wessex League Secretary submitted a written report

On the subject of Wessex League, B Harris for the Oxford club asked if team captains could give alternative dates if booking the Oxford club but it was felt that this would certainly exacerbate the problems for team captains, Bookings should be made at the Fixtures meeting. The Oxford club committee have agreed that there should only be two events on any one night. It was also pointed out that the Oxford club would not be available on the first Monday and third Thursday of every month as they have their own events on these evenings.

It had been noted that an Oxford player had not paid his subscription. He had attempted to but there had been a delay when the former Treasurer died. He has subsequently joined. N Perceval-Price proposed that in these circumstances any VP penalty be waived. This was seconded by S Noble and carried unanimously.

J Squires asked club captains in the first four Divisions to ensure their players know that they have to be OBA members.

Explanation was sought regarding promotions and relegations. N Perceval-Price responded that adjustments had to be made to take into account the size of the League and entries were to be finalised by 31/07/03.

The Membership Secretary had nothing to report.

R Brown submitted a written report regarding the Presidents and Chester Cup

M Brown reported that he had been disappointed in that there were only 8 entries for the Summer League and added that this would be the last year in its present format.

He concluded by commenting that Bridge for All was running smoothly.

The Match Secretary reported that the Chairman had covered most things in his report but he was pleased to add that this was the first season that there had been a third County team and that they had won their first match.

The Bridge for All event between Oxfordshire and Warwickshire had gone well and this was the first Inter-County event of its kind.

He concluded that this had been a successful year, the County had won the Porter League by a large margin and actually had a match to spare. This was the first time Oxfordshire had won this trophy.

The Master Points Secretary had nothing to report save that the points are done regularly every three months.

The Publicity Officer reported that Oxfordshire now has a regular column in “English Bridge”

She thanked S Noble, B Claridge and C Keep for their proof-reading.

She also thanked R Lonsdale for including forthcoming events on the web-site and N Smith for publicity in his column in the Oxford Times.

B Harris was disappointed that participation in County events had not increased. A questionnaire had been devised for the forthcoming season and she asked all directors at County events to ensure that it is distributed. It was agreed that a copy of it could be useful in the Brochure but circulation at each event would be more useful.

She concluded by questioning whether the posters at £11 are now cost –effective.

ELECTION OF OFFICERS

Vacancies have arisen for the posts of Chairman, Treasurer, Secretary and Match Secretary

A nomination for the post of Treasurer was received for A Wilson. There being no other nominations A Wilson was duly elected as Treasurer..

The outgoing Chairman suggested that the Management Committee might appoint posts pro-tem and he urged delegates to seek volunteers for the posts even if only for a year at a time.

SELECTION COMMITTEE

Nominations for the County Selection Committee had been received for :

D Talbot, A Lintott, N Wilkes and A Wilson

They were all thus duly elected

P Baxter then proposed a vote of thanks to Mike Fletcher for his Chairmanship over the years

N Snith re-iterated this and on behalf of the committee added that Both Pat and Mike had done a great job over the years and would be sorely missed.
